Parking Enrollment Coordinator – hybrid

Dayton, Ohio client is seeking a Parking Enrollment Coordinator for a contract role. Someone highly organized and process-oriented who can take ownership of a currently disorganized administrative process, work through a large volume of data, identify discrepancies, and bring structure to the parking enrollment workflow. The initial project involves reviewing/reconciling approximately 3,500 employee parking records, correcting inappropriate parking assignments, ensuring required payroll deduction documentation is processed, and coordinating the re-enrollment process under an already-established parking policy.

  • Hybrid - local candidates required. Anticipated onsite presence approximately 2-3 days per week, with increased onsite needs during active parking enrollment periods.
  • Candidates must be local to the Dayton area.
  • SCHEDULE: Full-time, Monday-Friday, approximately 8:00 AM-5:00 PM. Some flexibility may be required, including occasional evening hours during active enrollment periods to support a 24/7 hospital workforce. 

KEY RESPONSIBILITIES:

  • Coordinate the review, reconciliation, and re-enrollment of approximately 3,500 employee parking records.
  • Review current parking assignments and identify records that are inaccurate, outdated, or inconsistent with established parking policies.
  • Reconcile parking information across available reports, spreadsheets, internal systems, and vendor-provided data.
  • Ensure employees are assigned to appropriate parking areas in accordance with established criteria and hospital policy.
  • Identify employees who should be enrolled in payroll deduction for paid parking and ensure required documentation is completed and processed appropriately.
  • Organize and clean up existing parking enrollment records and administrative workflows.
  • Assess the current-state enrollment process, identify gaps or breakdowns, and help develop a more organized and sustainable re-enrollment process.
  • Create and maintain tracking tools, reports, and other documentation needed to monitor enrollment progress and outstanding issues.
  • Coordinate with hospital stakeholders, including Public Safety, HR, department leaders, payroll-related teams, and parking operations.
  • Partner with the hospital's parking vendor and utilize vendor-provided reports as needed to support reconciliation and enrollment activities.
  • Work with internal badge/access-related systems as needed to support parking access and employee enrollment.
  • Communicate with employees regarding parking enrollment, assignments, documentation, and related follow-up as needed.
  • Support development of an efficient enrollment approach, including identifying opportunities to streamline or automate portions of the process where feasible.
  • Maintain accurate documentation and provide status updates on project progress, open items, and completion milestones.
  • Support additional parking operations and process-improvement activities as the project evolves.
 
REQUIRED QUALIFICATIONS:
EDUCATION:
  • High school diploma or equivalent required.
  • Additional education is welcome but not required in place of relevant experience.
 
EXPERIENCE:
  • 3+ years of project coordination, operations coordination, administrative project support, or comparable process-focused experience.
  • Experience managing detailed administrative workflows, maintaining accurate records, coordinating multiple stakeholders, and organizing complex or high-volume processes.
  • Experience identifying process gaps, organizing current-state information, and helping implement improved workflows.
  • Experience working independently within established policies, procedures, and guidelines.
 
TECHNICAL SKILLS:
  • Solid Microsoft Excel skills, including sorting, filtering, reconciling data, and creating reports.
  • Ability to work with multiple data sources, reports, spreadsheets, and administrative systems.
  • Comfort learning internal systems related to employee access, badging, parking administration, and vendor reporting.
  • Advanced Excel skills such as pivot tables are not required.

  • Ability to manage multiple priorities while maintaining accuracy.
  • Strong follow-through and ability to take ownership of assigned work.
  • Ability to work independently while operating within established policies and procedures.
  • Flexibility to work onsite more frequently during active enrollment periods and occasional evening hours as needed.
  • Healthcare or hospital experience preferred but not required.
 
Most important candidate attributes:
  • Experience managing/reconciling high-volume records, data, enrollments, or administrative transactions — ideally volumes in the thousands.
  • Solid Excel skills, including sorting, filtering, reconciling data, and creating reports. Advanced Excel/pivot tables are not required.
  • Strong attention to detail and ability to identify discrepancies across multiple sources.
  • Demonstrated experience taking a messy or inefficient process and organizing/improving the workflow.
  • Ability to work independently, follow established policies/criteria, and drive work through completion without requiring constant direction.
  • Strong communication skills and comfort coordinating across multiple stakeholder groups, including employees, leadership, Public Safety, HR/payroll-related teams, and vendors.
